Welcome to EvoHire (the "Service"), the automated technical recruitment platform operated by EvoHire Inc. ("we," "us," or "our"). We are headquartered in Toronto, Ontario, Canada. We are committed to protecting the privacy of the recruiters and hiring managers who use our Service. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our Service.  

Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access or use the Service.  

2. Information We Collect

We collect information necessary to provide and improve our Service:

• Account Information: When you register for an account, we collect your Email Address and you will create a Password. This information is necessary to create, secure, and manage your account.
• Financial Data: We use Stripe, a third-party payment processor, to handle payments. When you subscribe, you provide payment information directly to Stripe. We do not directly collect or store your full credit card details. Stripe provides us with confirmation of payment and limited information like the last four digits of your card for identification purposes. We encourage you to review Stripe's privacy policy.
• Usage Data (Derivative Data): When you access and use the Service, our servers automatically collect certain information, such as your IP address, browser type, operating system, access times, and the pages you have visited within our Service. This helps us understand how our Service is used and maintain its security.  
• Cookies (Analytics Only): We use cookies and similar technologies solely for analytics purposes to understand how users interact with our Service (e.g., which features are used most, identifying areas for improvement). We use Mixpanel for this analytics processing. These cookies help us improve the Service. We do not use cookies for targeted advertising. You may be able to manage cookie preferences through your browser settings, though disabling essential cookies might affect Service functionality.

3. How We Use Your Information

We use the information we collect for the following purposes:

• To provide, operate, and maintain our Service, including allowing you to log in and access your recruiter dashboard.  
• To process transactions and manage your subscription via our payment processor (Stripe).
• To monitor and analyze usage and trends to improve the product, enhance user experience, and ensure the security and stability of the Service.
• To communicate with you regarding your account, support requests, or important service updates (transactional emails). We do not use your email address for promotional marketing communications.
• To comply with legal obligations and enforce our terms.

4. Disclosure of Your Information

We do not sell your personal information. We only share your information with third parties in the following limited circumstances:

• Third-Party Service Providers: We share information with third parties that perform services for us or on our behalf:
  
  • Stripe: For processing your payments.
  • Mixpanel: For processing analytics data to help us understand Service usage.
  • AWS: For hosting the Service and your data. We require these service providers to maintain the confidentiality of your information and use it only for the specific purposes for which we disclose it to them.
• By Law or to Protect Rights: If we believe disclosure is necessary or appropriate to respond to legal process, investigate potential violations of our policies, protect the rights, property, or safety of EvoHire Inc., our users, or others, or comply with applicable laws or regulations.
• Business Transfers: In connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business by another company, your information may be transferred as part of that transaction, subject to the receiving party honouring the commitments made in this Privacy Policy.  

5. Security of Your Information

We implement reasonable administrative, technical, and physical security measures designed to protect your personal information from unauthorized access, use, alteration, or disclosure. However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security. You are also responsible for maintaining the confidentiality of your password.  

6. Data Retention

We retain your account information (like email address) for as long as your account is active with us. Usage data collected for analytics is retained for a period necessary to fulfill the purposes outlined in this policy, unless a longer retention period is required or permitted by law. Financial transaction confirmations may be kept longer as required for accounting and legal compliance. When your account is deleted, we will take reasonable steps to delete your personal information, subject to backup archival retention periods and any legal retention obligations.  

7. Your Data Protection Rights

Depending on your location (including Canada under PIPEDA and certain US states like California under CCPA/CPRA), you may have rights regarding your personal information:

• Right to Access: You may have the right to request access to the personal information we hold about you.
• Right to Rectification: You may have the right to request correction of inaccurate personal information.
• Right to Erasure (Deletion): You may have the right to request the deletion of your personal information, subject to certain exceptions (e.g., legal compliance).

8. Cookies and Tracking Technologies

As mentioned, we use cookies primarily for analytics purposes via Mixpanel to improve our Service functionality and user experience. We do not use them for advertising. Most browsers allow you to control cookies through their settings preferences. Please note that disabling essential cookies might impact your ability to use certain features of the Service effectively.  

9. International Data Transfers

Our Service is hosted on servers located in the USA. If you are accessing the Service from outside the USA (including Canada), please be aware that your information (including email address and usage data) will be transferred to, stored, and processed in the USA, where data protection laws may differ from those in your jurisdiction. By using our Service, you consent to this transfer, storage, and processing in the USA. EvoHire Inc. remains responsible for ensuring appropriate safeguards are in place for data transferred outside your jurisdiction where required by law (such as PIPEDA requirements for data transferred outside Canada).  

10. Children's Privacy

Our Service is intended for professional recruiters and is not directed at individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have inadvertently collected personal information from a child under 16 without verification of parental consent, we will take steps to delete that information.  

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new PrivacyPolicy on our website and updating the "Effective Date" at the top. We encourage you to review this Privacy Policy periodically for any changes. Your continued use of the Service after any changes constitutes your acceptance of the revised policy.
